Sales Views

The Sales module has three (3) views, namely, the General View, Accounting View, and Fulfilment View. These views allow updating of selected sales orders based on the available information shown in them.


The information displayed on the Sales page depends on the default layout option for the selected View. The Filter options are also different for each view.


In addition, the status of your sales order may vary depending on the selected View. For example, the Ordered/Backordered to Completed status is only displayed under the General View. Under the Fulfilment View, you can schedule/reschedule sales orders for picking and assign picking tasks to your staffers assign pickers to orders.


To see the exact progress of the sale created through the Simple and Advanced Sale modules, you need to use a different view, for example, the Accounting or Fulfilment View.

The layout of the views are configurable. You may reset the layout by clicking the Gear icon to the right.

When running the Sales module, the General view is the default view. To change from the General View to either the Accounting or Fulfilment views, hover your cursor over the Sales - General View text, then select the appropriate option.

On the General view, you can view  order-related info. 



Upon selecting an order or orders on the list, several buttons appear that allow you to perform operations on your orders, including authorising quotes, orders, picks, packs, ships, invoices, and completing  sales. You can also undo or void sales orders, print and/or email related documents, and export the orders into CSV format, or export account receivables and 3PL shipment lists.



The General View shows the following columns by default:

  • Order status
  • Order number
  • Order date
  • Customer name
  • Reference number
  • Document or invoice number
  • Required by
  • Total amount
  • Quote sent status
    • Empty - if invoice, credit note has not been printed and sent
    • Printed - if invoice, credit note was printed but not sent
    • Sent - if invoice, credit note was emailed
  • Order sent status
    • Empty - if invoice, credit note has not been printed and sent
    • Printed - if invoice, credit note was printed but not sent
    • Sent - if invoice, credit note was emailed



The Accounting View

The Accounting View allows you to filter the list by specific accounting-related statuses, including All Sales, All Sales but Voided, Draft Estimates, All Estimates, Draft invoices, Awaiting Payment, All Invoices, and Draft Credit Notes, among others. 


Upon selecting an order or orders from the list shown on the Accounting View, you can perform operations on the orders such as authorising quotes and the like, undoing or voiding orders, printing or emailing documents such as sales quotes, sales orders, and pick lists, and exporting the orders into CSV or exporting account receivables and 3PL shipment lists.



The Accounting View shows the following columns:

  • Document or sales order no
  • Status
  • Customer name
  • Date
  • Due date
  • Overdue date
  • Total order amount
  • Paid amount
  • Due amount
  • Sent (available for invoices, credit notes, and quotes only, but)
  • Empty - if invoice, credit notes and quotes is not printed and not sent.
  • Printed - if invoice, credit notes and quotes was printed but not emailed.
  • Sent - if invoice, credit notes and quotes was emailed.



The Fulfilment View

The Fulfilment View allows you to filter sales orders by and check the status of Fulfilment-related tasks such as Not Fulfilled, Awaiting Picking, Ready to Pick, Ready for partial pick,  Packing, Shipping, and Fulfilled, among others. It also allows you to import sales tasks to CSV.



Upon selecting an order or orders from the list shown on the Fulfilment View, you can perform operations on the orders such as authorising quotes and the like, undoing or voiding orders, printing or emailing documents such as sales quotes, sales orders, and pick lists, and exporting the orders into CSV or exporting account receivables and 3PL shipment lists.



In addition, upon selecting an order or orders with Status = Picking from the list shown on the Fulfilment View, you can use the Picking button that appears to schedule the order/s for picking. To do this, click the button, then select Schedule for Picking. DEAR then schedules the order/s for picking and updates the Fulfilment View with the scheduled picking date.



To clear the schedule, click the Picking button, then  Clear Pick Schedule. This will clear the scheduled picking date from the Fulfilment View. You can then schedule a picking date for the order/s again.


To assign a picker to the order/s, click Set Picker, then enter the name of the picker on the Select Sale Picker window.


The Fulfilment View shows the following columns:

  • Order status
  • Order number
  • Order date
  • Customer name
  • Fulfilment number
  • Required by date
  • Overdue date
  • Location
  • Selected for picking (for orders with status = Picking)
